ComplaintPilot is a service that helps EU consumers generate complaint letters using AI technology. Payments are processed by Paddle.com Market Limited ("Paddle"), who acts as our merchant of record for the purposes of payment processing, VAT collection, and invoicing.

2. Data We Collect

We collect the following personal data:

  • Email address — to deliver your complaint letter and manage your account
  • Name — to include in your generated complaint letter
  • Complaint details — the information you provide in our forms to generate your letter
  • Usage data — anonymous analytics about how you use the service (via PostHog)

3. How We Use Your Data

  • To generate your personalized complaint letter using AI
  • To deliver your letter via email and PDF download
  • To process your payment (handled by Paddle)
  • To improve our service through anonymous analytics

4. Legal Basis (GDPR)

We process your data based on: (a) Contract performance — to deliver the service you purchased; (b) Legitimate interest — to improve our service; (c) Consent — for optional analytics tracking, which you can disable.

5. Data Sharing

We share data with the following processors:

  • Anthropic — AI provider that processes your complaint details to generate letters (data is not used for training)
  • Paddle — payment processor and merchant of record
  • Supabase — database hosting provider (EU region)
  • Resend — email delivery provider
  • PostHog — analytics provider (EU hosted)

6. Data Retention

We retain your complaint letters and associated data for 12 months from creation. Payment records are retained as required by tax law. You can request deletion of your data at any time.

Under GDPR, you have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Request erasure of your data
  • Restrict processing
  • Data portability
  • Object to processing
  • Lodge a complaint with your national data protection authority
